What a purchase order is for

A purchase order is your written order to a supplier: what you want, how many, at what rate, and by when. Once the supplier accepts it, it is what you check their bill and the delivery against.

It is not a tax document. The supplier's tax invoice is what you claim input tax credit on, not the PO. The GST on the order is shown so both sides agree the landed price before anything ships.

The tax type follows the two states, as on an invoice: the same state means CGST and SGST, different states means IGST.

Questions

Asked about this

Do I need a purchase order for GST?

No. GST law does not require one. It is a business record that protects you when a delivery is short, the rate on the bill is not the rate you agreed, or a model is swapped.

Should the PO number be in sequence?

It does not have to be, but a simple sequence such as PO-2026-001 makes it easy to match a supplier's bill to the order it answers.

Are my details stored anywhere?

Your shop details are remembered in this browser so you do not retype them next time, and nowhere else. Nothing you enter is sent to us.

Orders that turn into stock when the goods arrive

In HindustanBills a purchase order is received into stock against the supplier, so the PO, the bill and the shelf agree.
