Four ways Indian shops bill — and what each one costs you

A paper khata, a spreadsheet, installed desktop software, or a browser tab. Each genuinely works for some shops. Here is what each is good at and where it starts to hurt, so you can tell which one you have outgrown.

The short version

A paper khata is free and never fails, but gives you no stock figure and no GST data. A spreadsheet totals well but is not a billing screen. Installed desktop accounting software has the deepest books and works offline, but ties billing to one machine. Cloud billing software like HindustanBills puts billing, stock, udhaar, repairs and GST on any device for ₹2,999 a year, and keeps billing through an outage, syncing when the signal returns.

In detail

What each one is genuinely good at

Including the parts that are better than ours.

Paper bill book + khata

Most small counters, and nearly every shop before its first GST registration.

Works well for

  • Zero cost, zero setup, works in a power cut
  • Everyone behind the counter already knows how
  • A regular customer can see their own page in the register

Where it starts to hurt

  • No stock figure — you find out you are out of something when a customer asks
  • Totalling the day by hand, every day
  • GST returns rebuilt from scratch each month from loose bills
  • One lost or soaked register and the udhaar is gone

Moving across

Carry over the outstanding balances only. Enter each customer's current due as an opening khata entry and start billing from today — there is no need to re-enter old bills.

Excel or Google Sheets

Shops that outgrew paper and built their own sheet, usually one the owner maintains alone.

Works well for

  • Free, flexible, and shaped exactly like your business
  • Easy to total, sort and chart
  • Already on the machine

Where it starts to hurt

  • Not a billing screen — nobody cuts a customer's bill from a spreadsheet during a rush
  • Two people editing means two versions by evening
  • Stock, khata and sales live in separate tabs that have to agree manually
  • A GST invoice format and HSN-wise summary have to be built and maintained by hand

Moving across

Your sheet is the fastest start there is: export it to CSV and import the product list directly, with cost, selling price and opening stock.

Desktop accounting software

Shops running an installed package on a shop PC — the category people usually mean by Tally, Busy or Marg.

Works well for

  • Deep accounting: ledgers, balance sheet, full books your CA already knows
  • Runs without an internet connection
  • Long-established, and most accountants can work the data

Where it starts to hurt

  • The billing machine has to be on and in front of you — the model is one installed PC
  • Checking yesterday's sales usually means going to that machine
  • Backups are something you have to remember to do
  • Built around an accountant's workflow, so the counter staff learn an accounting tool

Moving across

Export your masters from the existing system and send them to us — we will map the product list, and you keep the old installation for historical books while new bills are cut here.

Questions

What people ask when comparing

What is the best alternative to a paper khata for a small shop?
Cloud billing software is the usual next step after a paper khata, because it keeps the credit ledger the khata was for while adding live stock and GST invoices. HindustanBills runs in a browser for ₹2,999 a year, so there is no computer to buy and nothing to install — you carry over each customer's outstanding balance as an opening entry and bill from that day onward.
Do I need desktop accounting software if I use cloud billing?
Many shops run both: billing and stock in a cloud tool at the counter, and full books with their CA in an accounting package. HindustanBills exports sales registers, GSTR-1 tables and CSVs for exactly that handover, so your accountant keeps the system they know while the counter stops doing data entry twice.
Can I move my product list out of Excel?
Yes. Export the sheet to CSV and import it directly, with name, cost price, selling price, opening stock and reorder level. A spreadsheet is the fastest starting point of any of these options because the data is already in rows and columns.
