How it works
He is back with the wrong size and the bill. One screen, not two bills.
An exchange is a return and a sale at once. Done properly it is a credit note at the price he paid and a new bill for what he takes — and the counter should not have to know any of that to get it right.
The mechanism
What happens when you tap Exchange
In the order it happens at the counter.
- 01He comes back
With the wrong size and the bill. On the new bill, tap Exchange and find the old bill by its number, his name or his mobile.
- 02Pieces back
Pick the pieces he is returning. A credit note is raised straight away against the original bill, and those pieces go back into stock.
- 03At what he paid
The credit is what that piece actually sold for — after the line's discount and its share of any bill discount — at the GST rate the original bill charged. Not today's price, not the list price.
- 04The new bill
Scan what he takes instead. The credit settles the bill first; he pays only the difference, or the screen shows the refund due when the new piece costs less.
The limits
What it does not do
Two of them, stated up front.
- The exchange screen lists bills from the last 30 days. For an older bill, raise the credit note from the bills list instead.
- The returned pieces are settled on the new bill at once — the credit is not held as a voucher for a later visit.
Questions
What shops ask about exchanges
Why a credit note, and not just editing the old bill?
Because the old bill has already been filed, or will be. Section 34 of the CGST Act corrects a supply with a credit note against it, and the note has to be reported in a return no later than 30 November after the end of that financial year.
The kurta was sold at 20% off. How much comes back?
What it was sold for. The credit note takes each piece's value after every discount on the original bill and that bill's GST rate, so a markdown since then does not change the refund.
What if the new piece costs less than the one returned?
The exchange credit settles the new bill in full, and the screen shows the balance as a refund due to the customer.
Does the returned piece go back on the shelf?
Yes — that exact colour and size, the moment the credit note is raised.
How does the exchange show in my reports?
The credit note subtracts from revenue and profit for the period, and the exchange settles the new bill without being counted as cash taken, so the day's cash and the day's sales both stay true.
The rules
GST on clothing, returns included
With the government text each claim rests on and the date it was checked.
- GST on clothing: 5% or 18%, decided by each piece's price
Readymade garments, bedsheets and footwear are taxed at 5% up to ₹2,500 a piece and 18% above it. The rate follows what the piece actually sells for — after your discount, before GST — so a markdown can change it. Here is the rule, the codes, and the cases that trip shops up.
Bill a kurta, then swap its size, before you decide
7 days, every feature, no card.
The returned piece goes back to the exact colour and size it came from — how size and colour stock works, and everything else a clothing shop gets.
